FAQs
We’d show a list of activities already covered by our platform but in reality it would get so long it would be silly. Instead, lets just say any club is possible!
We can connect you to literally thousands of coaches… we’ve seen everything from Harry Potter and choir clubs through to football, cookery and martial arts. If we don’t already know someone who can run the club for you, we’ll use our network and expertise to find someone. We like a challenge!
How much does it cost to use the portal?
Schools can use the website entirely for FREE. That’s because it’s funded by the external coaches themselves.
How will it help?
For a typical primary school running 10 clubs a week, Clubbly can save a few thousand pounds a year of time cost, and that’s before all the benefits of improved tracking and communications on the schools operations and community perception.
Is there a minimum number of children that need to sign up?
We leave it up to the coach to decide how many children they would like to have on the club in order to make it successful. Typically, coaches ask for a minimum of 10-12 children in order to make it financially viable for them and worthwhile for the children.
How much do coaches charge?
We find most clubs are £3.75 per child per session. Some cost more – gymnastics coaches ask from £4.75 per child per session for example. Some clubs go as low as £3.00.
Can the school pay?
Yes! Schools can contribute any amount they want to a club. There are three ways to do this: a per participant contribution, a fixed amount for a club, or you can fund the entire club! It’s incredibly easy to do – just select the preferred option when setting up the club. Job done!
What about our free clubs?
You can use the website to manage ALL of your clubs whether they are free or paid. If you want to benefit from online bookings, registers and flyers, you can use the website for free to manage your free/volunteer run clubs (one school even has it’s own Harry Potter club!)
What if I want to use my existing provider?
Yes, by ALL, we really mean ALL your clubs. If you want to use it for clubs run by another provider, we simply charge a 10% transaction fee. The school will receive a nice single payment (minus the transaction fees) a few weeks after the club has started. Or we can pay the coach directly.
Are the coaches vetted?
Yes! All of the coaches go through a strict vetting process. We check:
- Proof of qualifications
- Proof of insurance
- DBS certificate
- Photo ID
- Proof of address
- 3 references
What if my child doesn’t like it?
We would always encourage your child to try a couple of sessions to see how they get on but if they really don’t like it. You can always cancel within 14 days and receive a full refund for any sessions that have not taken place. After that we or the school can always try to offer the space to another child and so we can refund you for the remaining sessions.
What will my child learn?
After the first session and depending on the club, coaches will let you know what skills your child will be learning throughout the term and what activities they will be doing.
What if a session gets cancelled?
The coaches are responsible for finding cover for any sessions they are not able to attend but very occasionally things can go wrong. Usually, we find that its schools that want to cancel, not the coach. In situations where one of them has to cancel a session, they would usually be in touch with you directly but we will also help out by letting you know as soon as possible. Generally, the coach will reschedule the session, otherwise, you’ll receive a refund for the missed session.
How are the spaces allocated?
Spaces are allocated on a first come first served basis to allow everyone a fair chance of securing a place, unless the school state otherwise. But we do operate an Alert List which allows you to be the first to hear about a space becoming available.
